DOMAIN — PHYSICAL SAFEGUARDS

The most sophisticated firewall in the world won’t help if someone walks out with the server — or a laptop, or a box of records.

Recommended Module

Carriers and regulators ask about physical safeguards because a lot of "cyber" incidents aren’t cyber at all: a stolen laptop, an unlocked server room, an unescorted visitor, a hard drive tossed in the dumpster with data still on it. Physical controls are cheap and effective, and for anyone handling health data, they’re a required part of the HIPAA Security Rule.

The three things they’re really asking: Do you control who can physically get to your systems and sensitive areas? Do you log and escort visitors? And do you securely destroy media and devices instead of just throwing them out? If your answer is "the door’s usually locked," this kit turns "usually" into a program.

YOU CAN DO THIS TODAY
1

Lock the server room.

If the room or closet holding your servers and network gear isn’t locked with limited access, fix that today. It’s the single highest-value physical control most small offices are missing.

2

Turn on screen auto-lock.

Set every workstation to lock automatically after a few minutes idle, and ask staff to lock their screens when they step away. An unlocked, unattended machine is an open door to everything that person can access.

3

Start a visitor sign-in.

Put a simple visitor log at your entrance and start using it — name, company, who they’re visiting, time in and out. It costs nothing, and it matters for both security and compliance.

THE PHYSICAL SAFEGUARDS KIT

If the quick wins showed you the gap but not the path, the kit gives you a complete physical-security program — a policy, access controls, visitor and disposal procedures, and a walkthrough — without a security consultant.

WHAT'S INCLUDED IN EVERY KIT
01

Physical Security Policy

The policy behind your physical controls. Pre-structured; adapt and adopt.

02

Facility & Server-Room Access Control Standard

Who may enter which spaces, how access is controlled, and how it’s reviewed.

03

Visitor Log & Escort Procedure

Sign visitors in, identify and escort them, and sign them out — with a ready-to-use log.

04

Clean Desk & Workstation Security Standard

The cheapest control there is: locked screens and secured materials. Share it with staff.

05

Media & Hardware Disposal Log

Destroy paper, drives, and devices so data can’t be recovered — and record it.

06

Physical Security Walkthrough Checklist

Walk your space, find the gaps, and fix them.

NEED MORE THAN A KIT?

Some facilities need to be assessed on-site, not just templated.

If your Whitestance score flagged Physical Safeguards as a critical gap — or if you have multiple sites or handle regulated data in physical form — a kit gets you the program but a full engagement gets your facilities assessed. Whitestance’s fractional CISO engagements build and verify your physical-security program across your locations, with documented evidence your board, auditors, and carriers can see. Engagements start at $40,000 for smaller organizations and scale from there.
